Open Enrollment runs Open Enrollment runs during November each year.
This is the time to make changes to your benefits for the following plan year; this includes health, dental, and vision insurance, flexible spending, life insurance, and other voluntary products such as Aflac short-term disability. The IRS limits when you can make changes to your benefits. If you do not make your desired changes now, you may have to wait until Open Enrollment next year, or during a life event such as marriage, birth of a child, etc. Review your benefits and make changes by logging into UltiPro (Ultimate) > Myself > Benefits > Manage My Benefits when open enrollment is live.
Life Event Updates
Have you ever experienced a Life Event and wondered how it affects your benefits?
Life Event examples include marriage, divorce, moving to a new home, accepting full-time employment, taking a leave of absence, or adding a new child to the family due to birth or adoption. Additionally, a life event for your spouse or child, such as your spouse changing jobs or your child deciding to attend college full time, may also impact your benefits.
You have 30 days from the date of the Life Event to make changes to your benefits. If you do not make updates within the 30-day enrollment period, you will have to wait until the annual Open Enrollment period to make changes. There are no exceptions.
To submit a life event, you may do so securely and conveniently online by logging in to UltiPro (Ultimate) > Myself > Benefits > Manage My Benefits > Update My Benefits. Select the Life Event, Event Date, add any Notes. Follow the process of updating any family members, then electing or waiving your benefits. Depending on the life event, you may be asked to submit documentation such as a birth certificate, marriage certificate, adoption paperwork, divorce court order, etc. Follow the prompts to submit your event, and save your confirmation PDF. When complete, email [email protected]. Please allow up to two weeks for your changes to be reflected with the insurance carrier and paycheck.
Please note: At any time, you may be asked to provide documentation which verifies your dependent’s eligibility for the Cleveland Guardians plans.
In the event that your ‘Life Event’ causes a loss of coverage, under the Consolidated Omnibus Budget Reconciliation Act of 1985 (COBRA), your dependents that are no longer eligible have the right to continue health coverage if it ends due to a qualified family life event. Your dependents may continue only the plan coverage in effect at the time and must pay required COBRA premiums. They will be sent information on COBRA Continuation coverage at the end of the month in which coverage ends.
